Obtaining the Student Roster

Getting the roster file from ATS

First we need to obtain the  Excel based attendance file from ATS.

  1. Open the rocl section of ATS by typing in "rocl" and pressing enter.

  2. Enter your school e-mail ID, as you will be receiving the attendance file to this e-mail.

  3. Delete all text from "loc" and "printer".

  4. For "TYP" enter "d".

  5.  Press F6 and it will display how many records are found.

  6. Press F6 again. After a short delay, your roster will appear in your e-mail box.

  7. Once the e-mail comes in to your inbox, you will notice a ZIP file attached and also a long code in the email body that will be used to open the ZIP file. The code will be obvious because it'll be a long string of characters that makes no sense.

  8. Using your mouse, select the code in the e-mail. Make sure to move your cursor to the beginning of the code, click, and drag all of the way to the last character in the code. At the end of the code there is a hidden space. If you accidentally copy the space, you'll end up being part of the password and the ZIP file won't open. Once the text is selected, copy it (Ctrl+C will also accomplish this).

  9. Now open up the ZIP file attached to the e-mail.

  10. Save the contents of the ZIP file (your roster) anywhere on your computer. Just remember the location so that you can use it to upload later on. You can also click-and-drag the file to the location of choice. You will be asked for the password you copied in the previous step. You can paste it here (Ctrl+V will paste it for you).

  11. Your student roster will come in an Excel (XLS) format. We need to convert it to a CSV (Comma Separated) format. To do this, please open the file in Excel and Save As the file format CSV (https://www.ablebits.com/office-addins-blog/2014/04/24/convert-excel-csv/).
